Doctor User Guide

Private Practice consultation workflow: patients, queues, prescriptions, notes, AI suggestions, and session handoff.

Daily Workflow At A Glance

  1. Open Sessions and create or start the consultation session.
  2. Register the patient if they are not already in the system.
  3. Add the patient to the active queue.
  4. Open Queue Display for the waiting-room screen if needed.
  5. Open View session, select the patient, and complete the consultation.
  6. Create or update the prescription, add private notes, review AI suggestions, then move to the next patient.
  7. At the end of the clinic, exit the consultation view and close the session.

Session Setup

Step 1: Create a session

Action: Go to Sessions, select New Session, then choose Now for an immediate session or Scheduled for a later clinic. Select Create Session.

Check:

  • Use Now when patients are already arriving.
  • Use Scheduled when preparing the queue before the consultation starts.

Step 2: Start a scheduled session

Action: Open the scheduled session from the Sessions page and select Start Session. The session becomes active and the queue controls appear.

Check:

  • Only active sessions show Queue Display, View session, Add to Queue, and Next Patient.
  • If a session is already active, open it directly instead of creating another one.

Patient Intake

Step 3: Add a patient

Action: Open Patients, select Register Patient, then enter the required name, NIC, and phone number. Add date of birth and email when available, then select Register.

Check:

  • NIC and phone must be unique.
  • If the patient already exists, the system opens the existing patient profile.

Step 4: Confirm the patient profile

Action: After registration, confirm the profile details before adding the patient to a queue.

Check:

  • Use Edit Patient if the NIC, phone, date of birth, or email needs correction.
  • Visit history appears under Visit records after consultations are created.

Step 5: Add the patient to the queue

Action: Open the active session, select Add to Queue, search by name, NIC, or phone, select the patient, then select Add to Queue.

Check:

  • The channeling fee box is optional. Tick it only if collecting the fee immediately.
  • The system blocks duplicate queue entries for the same session.

Step 6: Review the session queue

Action: Use the Patient Queue table to confirm queue number, patient details, payment status, and patient status.

Check:

  • Waiting means the patient has not entered consultation yet.
  • In Consultation is the patient currently being seen.
  • Done and No Show keep the session history clear.

Queue Display

Step 7: Open the waiting-room queue display

Action: From the active session page, select Queue Display. Open it on the monitor or screen used for patients.

Check:

  • The display shows the queue number only, not patient names.
  • The number updates automatically when the doctor advances the queue.

Consultation Workflow

Step 8: Open the doctor consultation view

Action: From the active session page, select View session. The left panel shows the queue and the right panel shows the selected patient's consultation workspace.

Check:

  • Click a patient in the left queue to select them.
  • The currently active patient is marked In Consultation.

Step 9: Create the prescription

Action: On the Prescription tab, search the medicine name, choose form, dose, frequency, timing instructions, and quantity. Select Add Medicine. Use Save Prescription if you make later edits.

Check:

  • Review each medicine row before moving on.
  • Use Deliver Rx to print, share, or send the prescription when the prescription is ready.

Step 10: Add private notes

Action: Open Notes, use Notebook for clinical notes that should feed AI suggestions, then select Save Note. Sticky Notes are useful for visual reminders but are not included in AI suggestions.

Check:

  • Private notes are doctor-only.
  • Save before relying on notes for AI context.

Step 11: View AI suggestions

Action: Open AI after adding prescription items or notebook notes. Review the summary, possible diagnoses, patient tips, and prescription suggestions. Use Review & Add only after clinical review.

Check:

  • AI suggestions are informational support, not medical advice.
  • The doctor remains responsible for diagnosis, prescriptions, and patient advice.
  • Use Apply to Private Notes only if the generated note is clinically accurate.

Step 12: Move to the next patient

Action: When the consultation is complete, select Next Patient. The current patient is marked Done and the next waiting patient becomes In Consultation.

Check:

  • If a patient is absent, use the queue status menu and mark No Show.
  • At the end of the day, exit the consultation view and close the active session from the session page.

Useful Actions Doctors Often Need

Correct a queue status: Use the status dropdown beside the patient in the queue. This is useful for correcting Done, Waiting, In Consultation, or No Show.

Deliver or print a prescription: Use Deliver Rx from the patient header after the prescription is ready. Review the final medicine list before sending or printing.

Open a patient profile: From a full record page, use View patient profile. From the session queue table, select the patient name.

Use lab reports: Open Labs inside the consultation view when reports are attached to the visit.

Close the session: Return to the session page and select Close Session after the final patient has been completed.

Protect privacy: Use Queue Display for queue numbers only. Avoid showing patient profiles, notes, or AI suggestions on public screens.
